Every business has at least one workflow that drains both their time and energy. These are the kind of tasks that nobody really enjoys, but which have to be done. For example:
So, the first step to getting started is to think about your workflows and choose one that will become your first target to optimise with the help of AI.
Next, use a Copilot tool to automate the execution of that task. We’re not talking about asking AI to do the thinking or decision‑making here, we’re using it to help support or eliminate the repetitive steps that may be slowing your team down.
Managing virtual meeting admin is a great example. Copilot in Teams can be used to capture key points from a meeting in real time. It can also identify decisions, task ownership, and produce a clean summary that can be shared immediately. It also lets you ask follow‑up questions like “What were the risks discussed?” or “List all actions with deadlines” which can help teams quickly and easily pullout insights and data they need.
Suddenly, you have access to real-time, accurate and structured outputs without the time and admin burden. This is the moment where team members can really begin to see what AI can do and how it might benefit them day‑to‑day.
This is the part most businesses skip, and it’s why their AI adoption may stall.
While AI can execute the work, only humans can judge it, so the next step is to review the AI’s output. This includes:
At this point, the workflow becomes reliable, repeatable, consistent and importantly trusted.
Once your team trusts the output, they are more likely to start using AI proactively instead of reactively and that’s when adoption becomes cultural rather than tactical.
With one workflow now tested, refined and stable, you will have your first internal proof point. Your team will have seen firsthand the value that AI tools can bring to their day-to-day, and the time savings they can benefit from.
Even better, if you can measure and try to pinpoint exactly what time savings you have achieved, you can see the tangible value that optimising the workflow has had.
The next step is to scale your use of AI by adding a second workflow and repeating the full process of testing, improving prompts, refining and solidifying. At this time, you might also choose to expand access to even more people.
Then simply continue to repeat the process.
This is how SMEs can build adoption in a clear and measured way, not by undertaking a massive and disruptive AI transformation programme, but through small, compounding wins that achieve results, while helping drive confidence and engagement.
The Work Trend Index, an annual report by Microsoft looking at changing workplace behaviours, shows that while employees are ready for AI, organisations often aren’t. The research reveals that 67% of AI’s impact comes from organisational readiness, not individual skill, with culture, workflow design, and manager support all playing their part.
